About The Role

We are looking for a hardworking and dedicated Rota Administrator to join our growing team.

The Rota Administrator will ensure all requirements of the CAS/OOH teams and the CAS/OOH clinical rota and the OOH operational rota is completed and updated in an accurate and timely manner.
In addition, the Rota
Administrator will ensure that adequate cover is available for the provision of CAS/OOH.

The Rota Administrator goals:

  • Ensuring stipulated rota cover is fully achieved accurately and in a timely fashion.
  • Ensuring rota administration deadlines are met and maintained
  • Create database and spreadsheet management and compilation of external and internal reports
  • CQC support for compliance and evidence recording

Main Responsibilities and Duties:

  • To manage the accurate and timely completion of operational and clinical rota’s with CAS/OOH.
  • Compile rotas for each area from information received, as laid down in the Company protocols using Rota Master.
  • Finalise and issue agreed rota, subject to approval.
  • To ensure action is taken proactively to organise cover for the CAS/OOH Rota. All queries, allocations, A/L updates and changes are compleated and amended in an effective and timely manner.
  • To report any trends in clinical/non clinical absences, non-attendances or late arrivals.
  • Ensure action is taken to fill a vacant shift if a member of staff informs Practice Plus Group they are unavailable or unable to work.
  • To inform Rota Manager if there is any foreseen ‘risk’ such as shortage of clinical/non clinical staff on rota.
  • To ensure the rota data within Adastra aligns with Rota Master.
  • To ensure that correct rota information is updated on the Rota Master for payroll purposes.
  • To build great rapport with the operational and clinical staff to assist the organisation in filling sessions at short notice.
  • To provide other administrative tasks as requested by the Rota Manager
  • Telephone answering/filing/faxing and photocopying.
  • To ensure all compliancy documents for all clinicians working are fully accurate and maintained, raising any concerns with the management team.
  • Monitor all relevant inboxes and review and sign off invoices received against rota.
  • Ensure that all information, in particular financial information, is correctly recorded and updated on the rota master system.
  • Liaise with recruitment and local management, this may include agencies, to ensure all staff are fully trained and complaint on commencement of their shift.
  • To ensure smooth and effective handover with other members of the team. To cover in the absence of other team members for AL/Sickness.

 

About You

You will be an experienced administrator who is confident with rotas or similar coordination duties. You will have a keen eye for details and pride yourself on your accuracy.
As sudden rota changes may arise, you will also have an organised approach to working and prioritising.
The role would require building a rapport with staff and managers alike, and as such you will have exceptional communication and influencing skills. 
 
Other skills requested:
  • The post holder will be fully computer literate and be able to manipulate data base information as required.
  • In addition exceptional communication, negotiation and influencing skills will be required to facilitate the provision of adequate and effective rota cover.
  • Numeric accuracy and verbal reasoning are desirable.
  • The post holder will be a team player and also able to work without constant supervision, able to make decisions and implement those decisions confidently.
  • The post holder must have high levels of interpersonal and communication skills
  • Relevant operational experience working within the out of hour’s environment would be desirable.
