About The Role

The main role of the post holder is to work as a member of the patient administration team providing general management and vital HR support for a team of 22 Administrators.  Deliver, with the Patient Service Manager, the agreed contractual requirements and targets as well as managing services within their financial framework.  Maintaining agreed standards of service, and leading, motivating and developing staff.  The Deputy Admin Manager will need to present an enthusiastic and inspiring attitude and be flexible and friendly in their approach.
 

Key Responsibilities

 

  • Working under the direction of the Patient Services Manager with regards to providing administrative functions within the hospital which includes accountability of all staff on a day-to-day basis.

     

  • Provide for cover the patient services manager at times of sickness and annual leave.

     

  • Aid in the implementation of policy and procedures, internal and external, which affect and influence the work of the service, particularly those with statutory implications. To ensure staff are made aware of these at the appropriate level.

     

  • To develop and co-ordinate team processes, system processes, referrals, communication and management systems and to deliver personal and team objectives.

     

  • Stay informed of service contract changes; and how this will affect the administration team.

     

  • Supporting the Patient Services Manager to ensure arrangements are in place to monitor patient throughput using the Department of Health RTT pathway for patients.

     

  • Attend Communication, Heads of Department and Clinical Governance meetings, and provide feedback relevant to staff and Patient Services Manager.

     

  • Carry out manager on call responsibilities when required.

      

  • Play a key role in the administration team to ensure joined up care for the benefit of

    patients. 

     

  • Have a clear understanding of administration systems in the hospital (Maxims, ERS (DOS definer)).

     

  • Log staff annual leave and sickness through MSS.

     

  • Complete annual Performance Conversation Record’s (PCR’s/ Appraisals) and complete Return To Work forms for staff following sickness.

     

  • Maintain patient and staff confidentiality at all times.

     

  • Supervise staff in all aspects, identify training requirements and help implement staff personal development plans.

 

  • To attend all statutory and mandatory training as required by the Company in order to fulfil your duties.

 

  • To attend appropriate training courses and/or programmes to enhance personal and professional knowledge and skills.
